1. Acceptance of Terms
By accessing or using the website at teamtaika.com ("Site"), submitting a project request, placing an order, or using the client portal, you ("Client") agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you are agreeing on behalf of an organization, you represent that you have authority to bind that organization.
These Terms constitute the entire agreement between you and Taika Translations LLC (doing business as Language Access Hub, "Company," "we," "us") regarding use of our services, unless a separate written contract has been executed between the parties — in which case the executed contract controls.
2. Services Provided
We provide professional language services including, but not limited to:
- Certified and notarized document translation
- Standard, legal, medical, and technical translation
- Over-the-phone (OPI) and video remote interpretation (VRI)
- On-site interpretation
- Audio and video transcription
- Closed captioning, open captioning, and subtitling
- Desktop publishing (DTP) and multilingual typesetting
- ADA / Section 508 compliance consulting
- AI workflow automation consulting (through TVPTeam)
- Website localization and managed translation programs
All services are subject to availability. We reserve the right to decline any project at our sole discretion.
3. Orders, Quotes & Payment
Quotes. All quotes are estimates based on information provided at time of request. Final pricing may be adjusted if source material differs materially from what was described (e.g., word count, formatting complexity, language pair).
Per-page certified translation is priced at $24.99 per standard page (up to 250 words). Pages exceeding this word count are billed as multiple pages.
Payment. Payment is due before work commences unless a purchase order, net-terms agreement, or government contract is in place. We accept credit/debit cards (via PayPal), PayPal, Zelle, Venmo, and Wise. Government agencies may pay by P-card or check pursuant to contract terms.
Rush fees. Projects requiring turnaround faster than our standard timeline may incur a rush surcharge of 25–50% depending on urgency and availability.
Late payment. Invoices unpaid beyond agreed terms accrue interest at 1.5% per month (18% per annum) or the maximum permitted by law.
4. Delivery & Turnaround
Standard turnaround for certified translation is 1–2 business days per document. Turnaround for larger projects, complex technical content, or rare language pairs will be confirmed in your quote.
Delivery timelines begin upon receipt of both full payment and complete source materials. Delays caused by late payment, incomplete materials, or Client-requested changes are not our responsibility.
We are not liable for delays caused by events outside our control, including natural disasters, platform outages, or government processing times.
5. Revisions & Quality
We stand behind the quality of our work. Each project includes one round of revisions at no additional charge, provided the revision request:
- Is submitted within 10 business days of delivery;
- Relates to a translation error or omission, not a change in source content or preference; and
- Does not require re-translation of more than 20% of the document.
Revisions outside these parameters, or requested after the 10-day window, will be quoted separately.
Certification. Our certified translations include a signed statement of accuracy. We do not guarantee acceptance by any specific government agency, court, or institution, as acceptance policies vary and are outside our control.
6. Interpretation Services
Minimum booking. On-site interpretation bookings require a 2-hour minimum. OPI/VRI sessions are billed per minute with a 15-minute minimum.
Cancellation. On-site bookings cancelled with fewer than 24 hours' notice are subject to a cancellation fee equal to 50% of the booked session cost (minimum 2-hour rate). No-shows are billed at the full booked amount.
Scope. Interpreters are bound by professional codes of ethics including impartiality, accuracy, and confidentiality. Interpreters may not provide legal, medical, or other professional advice.
Recording. Sessions may not be recorded by any party without prior written consent from us and the interpreter.
7. Confidentiality
We treat all client materials as confidential. Translators and interpreters working on your project are bound by confidentiality obligations. We do not sell, share, or publish client documents or content.
For projects requiring HIPAA-compliant handling, government-classified material, or formal NDA coverage, please contact us before submitting materials. We are able to execute Business Associate Agreements (BAAs) and NDAs upon request.
Client is responsible for ensuring they have the right to share any materials submitted for translation or transcription.
8. Intellectual Property
Upon full payment, the Client owns the translated or transcribed output. We retain no ongoing rights to the delivered work product.
We retain ownership of all templates, processes, glossaries, translation memories, and tools used to produce the work. These are not transferred to the Client.
Client grants us a limited license to use submitted materials solely for the purpose of performing the requested service.
9. Limitation of Liability
To the maximum extent permitted by applicable law, our total liability for any claim arising from or related to our services shall not exceed the amount paid by Client for the specific project giving rise to the claim.
We are not liable for any indirect, incidental, special, consequential, or punitive damages, including loss of revenue, loss of data, or business interruption, even if advised of the possibility of such damages.
We make no warranty that translations will be accepted by any particular court, agency, or institution. We are not liable for consequences arising from reliance on translated content in legal, medical, or regulatory proceedings.
10. Cancellations & Refunds
Translation & transcription. Projects may be cancelled before work begins for a full refund. Once work has commenced:
- Projects cancelled after 25% completion: 75% refund of unbilled portion
- Projects cancelled after 50% completion: 50% refund of unbilled portion
- Projects cancelled after 75% completion: no refund; completed work delivered
Digital products (compliance kits, PDF reports) are non-refundable once delivered.
Interpretation. See Section 6 for cancellation terms specific to interpretation bookings.
Refund requests must be submitted in writing to ceo@taikatranslations.com. We process approved refunds within 5–7 business days.
11. Client Portal
Access to the client portal at teamtaika.com/portal is provided to registered clients. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.
Notify us immediately at ceo@taikatranslations.com if you suspect unauthorized access to your account.
We may suspend or terminate portal access for accounts that violate these Terms, are inactive for more than 24 months, or at our discretion with reasonable notice.
12. Governing Law
These Terms are governed by the laws of the State of Texas, without regard to its conflict-of-law provisions. Any dispute arising under these Terms shall be resolved by binding arbitration in accordance with the rules of the American Arbitration Association, with proceedings conducted in Texas — except that either party may seek injunctive relief in any court of competent jurisdiction.
Nothing in these Terms limits rights you may have as a government agency under applicable federal or state procurement law.
13. Changes to These Terms
We may update these Terms at any time. Material changes will be posted on this page with an updated "Last Updated" date. Continued use of our services after changes are posted constitutes acceptance of the revised Terms.
For active government contracts, changes to these Terms do not modify the executed contract unless agreed in writing by both parties.
